The Client

Clearpay is a Merchant Services company that helps small and mid-sized businesses manage credit card processing, POS systems, and payment terminals.

 

Originally, the company operated in a highly manual and spreadsheet-driven environment — sales representatives worked door-to-door, selling merchant services and earning commissions based on their clients’ transaction volumes. Each month, Clearpay’s owner manually calculated commissions using a Monthly Revenue Report (MRR) provided by their processor, Priority.

 

Clearpay partnered with KODIA to digitize and streamline this process — turning what was once a labor-intensive calculation workflow into an automated, transparent platform for both the company and its sales network.

 The Challenge

Clearpay’s business model was effective but inefficient to manage.

 

The process relied heavily on Excel files, manual data entry, and countless hours of calculation and verification.

Key pain points included:

 

  • Monthly commission reconciliation was slow, manual, and prone to errors.

  • Sales representatives lacked visibility into their earnings and performance.

  • Adjustments and overrides were difficult to track or validate.

The system couldn’t scale with Clearpay’s growing sales team or expanding product catalog.

As Clearpay’s business grew, so did the partnership. Together, we transitioned from a lightweight prototype to a fully engineered web application — maintaining the same collaborative spirit that defined the project from day one.
